The Mather Group Office Manager - Houston/The Woodlands

As they continue to expand their national footprint with offices in multiple states, they seek a Senior Wealth Advisor. As the main point of contact, will actively communicate with clients on a daily basis, providing advice on cash flows/tax planning strategies, estate/insurance issues, identify investment goals/retirement planning needs and implement recommendations with assistance of support staff. In addition, this position will meet with referrals in their territory and effectively close sales with the support of a leading financial planning team.

ABOUT THE POSITION

The Office Manager will be responsible for organizing and coordinating office administration and procedures for the TMG Houston and The Woodlands offices. The Office Manager will develop intra-office communication protocols, ensure that the office and staff have adequate supplies, monitor supply purchasing from suppliers, serve as the liaison between TMG and office building management, organize meeting and office functions, and distribute mail daily. The Office Manager will assist the office leadership team with administrative tasks to ensure organizational effectiveness and efficiency. The Office Manager may also be asked to help facilitate requests from other TMG offices, including Dallas and Austin, as necessary.

Position reports to Julie Farrer, Office Manager Chicago, with a dotted line to Amanda Muse, Senior Director, Wealth Management.

As an Office Manager, you will be responsible for:

  • Serving as the point person for building maintenance requests, mailing, shipping, supplies, equipment, invoices, and errands across both offices
  • Ordering office supplies, beverage, and snack items for the employees
  • Coordinating office supply purchases for the TMG Houston and The Woodlands offices primarily, as well as Dallas and Austin when necessary
  • Serving as the contact person for TMG Houston and The Woodlands office building management
  • Coordinating employee and visitor access to the TMG Houston and The Woodlands offices, as well as parking garages
  • Providing general support to office visitors
  • Organizing, planning, and executing client and internal employee events
  • Organizing meetings and managing office scheduling
  • Booking transportation and accommodations for leadership, new hire candidates, and visiting employees when needed
  • Coordinating the distribution of daily TMG Houston mail
  • Coordinating the distribution of TMG The Woodlands mail as required
  • Facilitating and monitoring all TMG Houston and The Woodlands purchases from vendors and suppliers
  • Coordinating with the IT department to support all office equipment and troubleshoot onsite issues with third-party IT support providers
  • Ordering gifts for clients and employees as necessary

CANDIDATE REQUIREMENTS

The ideal candidate will possess the following qualifications and attributes:

  • Prior office management, administrative, or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in Microsoft Office
  • Knowledge of clerical practices and procedures
